Call-Out Charge Calculator NZ
This call-out charge calculator works out what to charge for a short job when your pricing includes a call-out fee, a minimum charge time and a loading for after-hours work, and what that charge really amounts to per hour of the time spent on site. It is built for plumbers, electricians, locksmiths, technicians and any other trade or service business that sends someone out to a job. None of these terms is set by law. The call-out fee, the minimum time you charge for and any after-hours loading are commercial choices each business makes and tells its customers, and the figures here are only as good as the terms you enter. You enter your call-out fee, your minimum charge time in minutes, your hourly rate, the minutes actually spent on site, whether the job was after hours and the loading you apply, and whether you are GST registered. The calculator charges labour on whichever is longer, the time on site or the minimum, applies the loading to the labour when the job is after hours, adds the call-out fee, and adds GST at 15% when you are registered. It also shows the effective hourly rate: the charge excluding GST divided by the time actually on site, which is the figure to compare with your normal rate when you set the fee and the minimum.

Your Timesheets at jobtracker.co.nz logs your hours on a week grid or a timer that keeps counting when your phone locks, free on every plan. Career and Timesheets turns those hours into projects and rates, fixed fees and retainers, numbered invoices with GST only when you are registered, expenses and mileage, and the tax to set aside, from $4.99 a month billed yearly.

Labour is charged on the longer of the time on site and the minimum charge time, converted to hours and multiplied by your hourly rate. When the job is after hours, the labour is increased by the loading percentage; the call-out fee is added as it stands. The call-out fee plus the labour is the charge excluding GST. If you are GST registered, GST at 15% of that charge is added to give the total. The effective hourly rate is the charge excluding GST divided by the time actually on site, so on a job shorter than the minimum it is well above your hourly rate, and on a long job it moves back towards your rate plus any loading. GST is left out of the effective rate because it is collected for Inland Revenue rather than earned.
Worked example
An after-hours job takes 25 minutes on site. The business charges an $85 call-out fee, a 60-minute minimum, $95 an hour and a 50% after-hours loading, and is GST registered. The 25 minutes is less than the minimum, so an hour is charged, at $95 plus 50%, which is $142.50. Adding the $85 call-out fee gives $227.50 excluding GST, GST adds $34.13 and the customer pays $261.63. Over the 25 minutes actually on site, the $227.50 works out at $546.00 an hour. The same job during normal hours would be $85 plus $95, or $180.00 excluding GST.
